Your Questions — Our Answers
We provide fully custom travel planning and advisory services. Based on your preferences (destinations, travel style, budget, dates, number of travellers, accommodation type, transport preferences, activities), we craft a personalised itinerary — including flights, hotels, tours, transfers, and more. We act as a travel advisor/agent, partnering with trusted third-party suppliers worldwide.
Simply use our contact form or “Custom Trip Request” form on the site. Choose your destination country, travel month, number of travellers, and any travel preferences. Once submitted, we’ll review your request and get back to you within 24 hours (typically via email or WhatsApp) with a tailored proposal.
Yes — we charge a non-refundable planning / service fee when we design customised itineraries. This fee covers our time and expertise. The exact amount depends on complexity and volume of the trip. Supplier costs (flights, hotels, tours) are quoted separately and passed on at cost + any agreed-upon markup/commission.
We provide a detailed quote and payment schedule before you confirm. Typically a deposit is required to secure bookings, especially for flights, hotels or special accommodations. Final payment is due before travel or as per the Supplier’s payment terms.
Cancellations or changes must be requested in writing. Any cancellation or change fees depend on the individual Supplier’s policy. Planning/service fees are non-refundable. Refunds (if applicable) will only be processed after the Supplier’s refund is received and cleared.
No — travel insurance is not included by default. We highly recommend all clients purchase comprehensive travel insurance covering health, accidents, cancellations, luggage, and unforeseen events. We can advise on suitable insurance providers if requested.
We need your travel dates (or approximate month), number of travellers, travel style (solo, couples, family, adventure, etc.), destination preferences, accommodation preferences, special requests (dietary, accessibility, special occasions), and contact details (email, phone). For bookings, passport/ID info and payment details may also be required.
Typically within 24–72 hours after we receive your full request. For more complex or multi-destination itineraries, it may take slightly longer — we’ll always inform you of an estimated delivery timeframe.
That’s absolutely fine — many travellers start with a flexible idea. You can choose “I don’t know – please suggest” during the form, and we will propose destinations and approximate schedule based on your preferences and budget. Once you review and approve, we refine into a full plan.
We coordinate everything but the actual services (flights, hotels, tours) are provided by independent third-party suppliers. We serve as your travel advisor/agent, facilitating bookings, handling logistics and communication with suppliers on your behalf.
We are committed to assisting you as much as possible: we communicate with suppliers, help rearrange bookings or alternatives. However, because we are an agency and not the direct service provider, liability depends on the supplier’s own terms and policies. We strongly advise all clients to take travel insurance to cover unexpected events.

Booking Terms & Conditions
By making a booking with Ventari Adventures Co. (“the Company”), you acknowledge that you have carefully read, understood, and agreed to be bound by these Booking Terms & Conditions. These terms apply to all persons named on the booking (“Client”), including minors or persons under disability.
A booking is considered accepted once the Company issues a confirmation invoice or email. At that moment, a binding contract is formed. Prior to confirmation, the Company reserves the right to adjust pricing or decline a booking at its discretion.
These Terms constitute the entire agreement between the Company and the Client. No verbal or additional written agreements outside this document apply unless explicitly agreed in writing by the Company.
Clients must disclose all relevant medical conditions, pregnancy, disabilities, or mental/physical conditions in writing at the time of booking. Failure to disclose may result in refusal of travel and full cancellation fees.
Some itineraries may be unsuitable for certain individuals based on age, mobility constraints, or health conditions. It is the Client’s responsibility to confirm suitability prior to booking.
The Company will make reasonable efforts to accommodate special requests (dietary, mobility etc.), but cannot guarantee availability. Such requests do not form part of the contract.
A non-refundable deposit is required to secure your booking. The exact deposit amount varies depending on the itinerary type. If a booking is made within 60 days of departure, full payment may be required immediately.
Credit card fees, bank charges, or third-party processing fees are the responsibility of the Client and are non-refundable.
All cancellations must be submitted in writing and acknowledged by the Company.
Cancellation fees apply as follows:
- 60+ days before departure: Deposit retained
- 59–30 days before departure: 50% of total cost
- Less than 30 days: 100% of total cost
Changes to travel dates within 60 days of departure are considered cancellations.
The Company may cancel a tour due to unforeseen circumstances beyond its control. In this case, Clients may:
- Transfer to an alternative tour of equal or higher value (subject to availability)
- Transfer to a lower-value tour and receive a refund of the difference
- Receive a full refund of all monies paid (excluding deposit)
The Company is not responsible for consequential losses (non-refundable flights, visas, etc.).
No refunds apply for unused services, voluntary or involuntary departure, illness, missed activities, or any segment of the trip not utilized by the Client.
Prices may increase or decrease based on currency fluctuations, taxes, fuel surcharges, or Supplier fees. After confirmation, price changes may still occur but no later than 30 days prior to departure.
Adventure travel requires flexibility. Routes, schedules, and accommodations may vary due to weather, transport disruptions, government restrictions, or other unforeseen circumstances.
The Company may make necessary modifications before or during travel. If a major change occurs prior to departure, Clients may withdraw without penalty or accept the revised itinerary.
Clients acknowledge that adventure travel involves inherent risks. By booking, the Client voluntarily assumes all risks associated with travel including injury, illness, delays, or property loss.
Optional activities are undertaken at the Client’s own risk.
The Tour Leader’s decisions are final in matters affecting safety and group well-being. Failure to comply may result in removal from the tour without refund.
Clients are responsible for all passports, visas, permits, vaccination certificates and complying with entry requirements. Passports must be valid for at least 6 months after return.
The Company is not liable for delays or cancellations caused by events beyond control including war, terrorism, pandemics, natural disasters, labour strikes, extreme weather, or government actions.
Clients must obtain comprehensive travel insurance covering medical expenses, injury, evacuation, cancellations, and loss of belongings. Proof of insurance may be required.
Discounts apply only to new bookings. Existing bookings are not entitled to retroactive price reductions if promotional pricing appears later.
Clients must report complaints immediately during the tour. If unresolved, a written claim must be submitted within 30 days of returning.
Optional extras not included in the base itinerary are undertaken at the Client’s risk. The Company is not liable for the quality or safety of external operators.
By participating in a tour, Clients grant the Company permission to use trip photos/videos shared with or captured by Company representatives for promotional purposes.
The Company is not liable for Supplier performance issues, acts of third parties, force majeure, or Client negligence. Liability is limited to the cost of services purchased.
If any part of this agreement is found invalid or unenforceable, the remainder still applies.
These Terms apply to the Company, the Client, and their respective heirs, successors and assigns.
These Terms are governed by UAE law. Any disputes shall be submitted to the exclusive jurisdiction of UAE courts.
