Company Name: Ventari Adventures Co.

1. Scope of Services

We act as a travel advisor/agent coordinating with independent third-party suppliers (airlines, accommodation providers, transport, tour operators, activity companies — collectively “Suppliers”). Ventari Adventures Co. arranges or recommends travel services but does not operate the underlying services unless explicitly stated.

2. Booking, Payment & Confirmation

  • All bookings are subject to availability, confirmation and acceptance by relevant Suppliers.
  • Quotes provided by us are estimates. Final price depends on final availability, exchange rates, taxes, and Supplier fees at the time of booking.
  • To confirm a booking, you must provide written acceptance and pay the required deposit or full amount, as per the proposal.
  • Some bookings may require full payment upfront (e.g. flights, special hotels) — this will be indicated in your quotation.
  • We may charge a non-refundable planning / service fee for customised itineraries or consulting. This fee is separate from Supplier costs and is non-refundable once paid.

3. Changes & Cancellations by Client

If you request changes or cancellations, you must notify us in writing (email). Charges or penalties depend on the Supplier’s policy, and you remain liable for any non-refundable costs or penalties incurred.

4. Changes & Cancellations by Company or Supplier

We reserve the right to cancel or modify bookings due to Supplier changes, errors, force majeure, or other unforeseen circumstances. In such cases, we will assist in alternatives or refund any payments received for the affected services that are refundable by the Supplier. We are not responsible for additional costs (flights, visas, non-refundable purchases) resulting from such changes.

5. Liability, Risk & Assumption of Responsibility

Travel involves inherent risks — delays, accidents, illness, weather, political instability, natural disasters, or Supplier default. You accept all such risks and release us from liability for injury, loss, damage or financial loss, to the maximum extent permitted by law.

We strongly recommend that you obtain comprehensive travel insurance covering all participants, including health, accidents, cancellations and repatriation.

6. Client Obligations

  • You must provide accurate personal, passport, visa, health, and emergency contact information. We are not liable for consequences arising from incorrect or incomplete information.
  • You must comply with all Supplier rules, local laws, regulations, customs and safety instructions.
  • For minors or persons under guardianship, a responsible adult must accept full liability.

7. Payment Methods, Currency & Fees

Payments may be requested in USD or other currency as specified in the quote. Any currency conversion fees, bank transfer charges, or card processing fees are borne by you. You authorize us to charge the amounts agreed when making your booking.

8. Supplier Terms & Additional Conditions

All Supplier-specific terms (ticket conditions, luggage rules, cancellation policies, booking conditions) apply in addition to these Terms. You must review and accept them before confirming a booking.

9. Force Majeure & Unavoidable Events

We are not liable for delays or cancellations due to events beyond our control (natural disasters, pandemics, war, strikes, government actions, weather, etc.). We will assist where possible, but cannot guarantee alternatives, refunds or compensation beyond what the Supplier allows.

10. Publicity & Image Rights

Any photos, videos, testimonials, or feedback generated or provided during a trip may be used by Ventari Adventures Co. for marketing, portfolio, or promotional purposes worldwide, unless expressly agreed otherwise.

11. Data, Communications & Privacy

By engaging our services, you consent to receive emails or communications related to bookings, travel updates, confirmations, or marketing (if opted in). We handle your personal data as per our Privacy Policy (see below).

12. Governing Law, Dispute Resolution & Acceptance

This agreement is governed by the laws of the United Arab Emirates (UAE). By confirming a booking or making payment, you acknowledge you have read, understood, and accepted all Terms & Conditions above and Supplier terms.

If any clause is invalid or unenforceable, it does not affect the rest of the agreement.

If you do not agree with any part of these Terms, please do not proceed with booking services or payments.

Privacy Policy

1. What Information We Collect

  • Name, contact details (email, phone, address)
  • Passport/ID details (when required for bookings)
  • Travel preferences, special requests, health or dietary requirements
  • Payment information (only when required; handled securely by payment processor)
  • Optional: Newsletter or marketing opt-in consent

2. Use of Your Information

Your data is used to process bookings, communicate with you, coordinate with Suppliers, manage payments, send confirmations, and — if opted in — share offers or travel inspiration.

3. Data Sharing & Disclosure

  • We share necessary data with Suppliers to book your travel services (hotels, flights, transport, tours).
  • We do not sell or rent your personal data to third parties.
  • We may share data if required by law or authorities.

4. Data Retention & Access

We retain booking-related data for the period required by law and for record-keeping. You may request access, correction, or deletion of your data by contacting us at info@ventariadventures.com.

5. Security Measures

We implement reasonable technical and organizational measures to protect your data. However, we cannot guarantee absolute security, especially when using external payment processors or third-party websites.

6. Cookies & Website Tracking

If our website uses cookies, analytics, or tracking tools, these are used to improve performance, user experience, and analytics. No sensitive personal data is stored without consent. You may opt out via your browser.

Cancellation & Refund Policy

1. When You Cancel

All cancellation or change requests must be submitted in writing. Refund eligibility is subject to the policy of each Supplier, and you will be responsible for applicable fees, deposit non-refundable portions, or penalties.

2. Non-Refundable Fees & Deposits

  • Planning / service fees paid to Ventari Adventures are non-refundable once itinerary design or consulting begins.
  • Any non-refundable hotel, flight or Supplier deposits are non-refundable once confirmed by Supplier.

3. Force Majeure & Supplier Cancellations

If a Supplier cancels or changes services due to unforeseen events (weather, political unrest, strikes, force majeure), we will try to provide alternatives. Refunds or credits depend on what Supplier offers; we are not liable for additional costs or compensation beyond what Supplier grants.

4. Refund Processing

Refunds (if approved) will be processed only after Supplier’s refund is received and cleared. Timeframe depends on Supplier and payment method; we cannot guarantee exact refund timing.

5. Client No-Show or Late Arrival

No refund or credit will be given in case of no-show, late arrival, failure to present required travel documents, or failure to meet Supplier check-in/boarding requirements.
